The Ecology Department is seeking a *4-H PROGRAM ASSISTANT* to join their team.
This position performs administrative, accounting, and communications duties to support and coordinate 4-H programs in Missoula County.

* *Representative Examples of Work* Performs tasks to support activities of the 4-H Agent, 4-H Council and 4-H Clubs to prepare for and coordinate meetings, events, camps, trips, etc.
Receives telephone calls and visitors; provides information on 4-H programs, meetings and events.
Assists with outreach to new 4-H families.
Coordinates enrollment for 4-H clubs: provides information and support of online self-enrollment; collects enrollment fees; generates reports; orders and distributes publications and record sheets.
Works with 4-H Agent and Club leaders to coordinate and document 4-H Volunteer screening; collects year-end financial summaries from Clubs.
Provides support for 4-H activities at the Western Montana Fair and manages relationships with many volunteers.
Participates in 4-H Fair Committee meetings; revises 4-H sections in the Fair premium book.
Coordinates with 4-H Awards Superintendent to ensure 4-H award donors are contacted, and to organize and collect awards.
Prepares and publishes registration procedures and schedules for 4-H fair exhibits; collaborates with 4-H Exhibit Building Superintendent to organize and schedule interviews for judging hundreds of exhibit entries.
Provides information and support of online self-registration and prepares reports for Fair superintendents and judges.
Collaborates with the 4-H Agent to prepare and distribute a 4-H newsletter including: gathers information for articles; sets deadlines; creates layout; oversees production and distribution.
Collaborates with the 4-H Agent and 4-H Council to support 4-H fundraising efforts by organizing and scheduling committee tasks; setting timelines; producing and distributing solicitation documents; tracking and collecting donations; and making deposits.
Serves as liaison for the 4-H program including members or potential members, families, leaders, 4-H Council (Board) and committees, with the State 4-H office, sponsors and donors for 4-H events and the Western Montana Fair organization.
Composes written correspondence and prepares forms; Collaborates with the 4-H Agent to prepare and distribute Council meeting agendas and minutes; prepares complex written and statistical reports; and maintains 4-H records and files.
Oversees 4-H postage meter funds and bulk mailings.
Prepares claims for 4-H Council expenses; collects enrollment dues and fees; prepares and makes deposits.
Maintains financial records and provides the 4-H Council Treasurer with documentation.
Coordinates with MSU Extension on budget and financial reporting issues.
*Minimum Qualifications* High school graduation or GED.
Requires three years of experience providing administrative program support.
Requires experience using word-processing.
Experience with spreadsheet software, data base management, and desktop publishing is desirable.
*Physical/Environmental Demands* The work is commonly performed in an office setting with a considerable amount of time performing work on a computer.
May require occasional light lifting (up to 20 lbs.
).
Requires participation in events held outdoors.
Requires attending meetings held outside of normal working hours to include weekends and evenings.
