REPORTS TO: Office Services Manager LOCATION: Missoula FLSA STATUS: Non-Exempt POSITION RESPONSIBILITIES: The Mail Clerk is responsible for the timely and efficient retrieval, processing and delivery of incoming company mail to individuals within the organization.
The incumbent will scan all incoming paper claims and correspondence timely, accurately and legibly.
Duties also include sorting, scanning, logging and retrieving claims as requested and processing outgoing mail for delivery to the Post Office by the end of the workday.
Back up for the reception desk may be required.
The incumbent is expected to communicate professionally with peers, supervisors, subordinates, vendors, customers, and the public, and to be respectful and courteous in the conduct of this position.
ESSENTIAL JOB FUNCTIONS: Essential job functions include the following.
Other functions may be assigned as business conditions change.
Picks up incoming mail from the USPS at the beginning of the workday and prepares outgoing mail (USPS or Fed Ex) for evening delivery to the Post Office Requests funds as needed for insufficient postage from the Office Manager.
Provides documentation for such money spent.
Opens and sorts incoming mail.
Batches claims mail by designated group or category.
Picks up and distributes mail and correspondence to and from locations at the Garfield Street, South Avenue and Oxford offices at scheduled intervals daily.
Scans incoming claims mail in batches by designated group or category.
Verifies the accuracy of each scanned batch and ensures the legibility of each document.
Exceeds or maintains department scanning production requirements of 2 seconds per page.
Numbers and initials batches prior to storing materials.
Stores paper claims by received date.
Keeps storage information current in electronic format.
Coordinates the removal and retrieval of original claims with storage facility.
Operates folding and inserting machine or manually prepares outgoing mail.
Sorts outgoing mail for pick up by automation mailer or for delivery to the USPS directly Weighs, meters and trays mail according to USPS standards for delivery to the USPS.
Compares USPS costs for flats to UPS pricing and forwards to Receptionist for UPS delivery if determined to be more cost effective.
Delivers excess and special services mail to the USPS daily, ensuring proper authorization is obtained at the USPS for special services.
Maintains daily running totals of postage by category.
Computes monthly postage totals to be reported to the Office Manager.
Maintains daily descending postage totals.
Requests additional funds for postage from the Accounting Department when necessary and transfers the deposit into postage via modem.
Orders envelopes weekly as needed from the Purchasing Agent.
Contributes to the daily workflow with regular and punctual attendance.
May provide back-up assistance to the Receptionist or other departments when needed.
NON-ESSENTIAL JOB FUNCTIONS: Performs related or other assigned duties as required or directed.

High level of interpersonal skills to work effectively with others.

Ability to comply with privacy and confidentiality standards.
Ability to be flexible, work under pressure and meet daily deadlines.
