The Western Montana Area Health Education Center (WMT-AHEC) invites applications for a part-time Program Coordinator II to oversee daily administrative, technical, and clerical support.
A high degree of initiative is required, along with strong problem-solving skills, attention to detail, organizational skills, and ability to work as part of a team.
In addition to administrative tasks, this position will communicate with students to discuss their track to medical school, assist with arranging and tracking shadowing experiences, and encourage students to develop positive rapport with hospitals.
This position will track student paperwork and immunizations, assist with pre-health events, proctor exams, make AHEC related updates to the website, and post on social media platforms when prompted.
Required Skills Experience with routine office tasks including preparing mailings, filing, and processing routine forms and paperwork.
Attention to detail.
Ability to learn and conduct event planning and catering including managing attendee registrations, hotel accommodations and banquet ordering (EventBrite, Doodle Polls).
Ability to schedule meetings and logistics (Transportation, A/V, etc) for faculty and students as well as rural healthcare partners.
Experience in developing and using web-based communications (e-newsletters, social media etc.
).
Experience in building and using database software to track contacts with the ability to learn new software.
Ability to support presentations & meetings via Zoom.
Ability to learn Cascade website editing software.
Ability to learn Sonia student tracking software.
Ability to learn Canva web-based creation software Familiarity with standard office equipment (copier, FAX), communication tools (email, voicemail, the Internet) and software (particularly Adobe and Microsoft Office tools including Word, Outlook, Excel, Teams).
Ability to learn new skills and information brought about by rapidly changing information and/or technology.
Must be customer-oriented in representing the department and dealing with students, healthcare providers, faculty, and external constituents.
Ability to deal with and prioritize multiple tasks, both immediate and ongoing, as well as handling issues calmly and courteously.
Ability to effectively work as part of a tight knit team that depends greatly upon communication and collaboration.
Minimum Required Experience High School diploma or equivalency.
Preferred Qualifications Bachelor’s degree and 1 year of experience in a customer service delivery environment, preferably in a healthcare or educational setting.
Flexibility around work hours when required for events and/or meetings.

Current employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary.
