Staff Vacancy Announcement The University Center invites applications for a Conference and Event Program Manager to join the University of Montana Conference and Event Services team.
The Conference and Event Program Manager is primarily responsible for administering all related events and projects.
In this position you will provide administrative and technical support as well.
Responsibilities: Assess program effectiveness and make recommendations for program changes if required Get involved in regular strategic planning meetings and make recommendations for the program Manage the fiscal resources of event-related activities, which include both designated and contract/grant budgets and is expected to draft detailed program budgets, working with the client to review and finalize all cost estimates Keep the overall fiscal budget within boundaries, review monthly financial reports, and make appropriate adjustments, if necessary Monitor expenses of several budgets simultaneously, reconcile accounts against the UM Banner management and UMDW systems and project costs to complete Assign and monitor work for both types of funding types and stay within payroll budget Responsible for hiring, directing, and evaluating the work of student workers, work-study student, and/or temporary, part-time, or full-time employee Assist with the business development, make outreach and solicit new clients and conference/event opportunities May serve as the spokesperson for the unit and develop strategies to generate additional revenue for the department as a whole Other duties as assigned Required Skills Strong ability to work autonomously and operate as an independent manager with excellent organizational skills and ability to multi-task and make fundamental decisions in a deadline-oriented environment Strong self-directed ability to set priorities and methods for self-success Ability to pivot and execute changes quickly in rapidly shifting circumstances Proven accounting and financial management skills Knowledge of, and experience, working with non-profit, state and federal agencies Excellent written and oral communication skills Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or government regulations Ability to write reports and business correspondence Excellent grammar and proofreading skills, with high attention to detail Ability to effectively present information in one-on-one and small group situations to internal/external customers and clients Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form Demonstrates conflict resolution skills, customer service skills, and strong problem-solving skills Possess strong computer skills, including a proficiency with Microsoft Office, Word, and Excel Provides strong administrative and financial oversight components Ability to travel within the State of Montana Must have the ability to travel to conference sites for multiple days to set up and complete a conference May be requested to attend conferences with other members of the CMS team Minimum Required Experience Bachelor’s degree or Associate’s degree and three (3) years of experience in planning and implementing conferences and/or special events including managing logistics and onsite support; or equivalent education and experience Preferred Qualifications Knowledge of University and State policies and procedures for handling cash, contracted services and accounts payable.
Experience using UMDW and X-CD conference management software or similar conference registration software.
